OR & US Society ('we', 'us', 'our') operates a private invitation only membership platform. This policy explains what information we collect, how we use it, and your rights over it. By applying for or maintaining membership, you agree to these practices.

Information We Collect

We collect the information you voluntarily provide during your application: your name, email address, city, profession, and the personal statement you submit. We may also collect your Instagram handle or personal website URL if you choose to share it. When you use the app, we collect standard usage and device data (operating system, app version, session duration) to maintain service quality.

How We Use Your Information

Your application data is used exclusively to assess membership eligibility and, if accepted, to personalise your experience within the Society. We do not sell, rent, or trade your personal information to any third party. We do not use your data for advertising. Internal team members conducting membership reviews may access your application under strict confidentiality.

AI Assisted Processing

With your separate, explicit consent (marked optional on the application form), your application text may be reviewed by an AI language model to assist our editorial team. This consent is never required and has no bearing on your membership outcome. You may withdraw AI processing consent at any time by contacting us.

Data Retention

If your application is declined or withdrawn, we retain your data for 90 days for quality assurance purposes and then permanently delete it unless you request earlier deletion. Active member profiles are retained for the duration of membership and 12 months following any account closure. You may request permanent deletion at any time.

Your Rights

Under applicable data protection law, you have the right to access, correct, export, or delete the personal data we hold about you. To exercise any of these rights, write to info@orpheasociety.com. We will respond within 30 days. You also have the right to lodge a complaint with your local data protection authority.

Account Deletion

You can delete your account and all associated data directly within the OR & US app via Settings, or by writing to info@orpheasociety.com. Deletion removes your authentication record and all personal data linked to it.

Security

Application data is stored using secure infrastructure with industry standard encryption at rest and in transit. Access to any production systems is restricted to authorised personnel only.
